BriefGate vs HoneyBook: collecting client assets without the whole CRM
Introduction
HoneyBook is a client-management suite for independent service businesses: lead capture, proposals, contracts with e-signature, invoicing with built-in payments, scheduling, and a client portal, all in one product. Its own headline says it: "Manage every client, project, and payment all in one place." If you run a photography studio, an event business, or a small agency in the US, Canada, the UK, or Australia, and you want one tool for the entire client lifecycle, it is a strong choice.
BriefGate does one part of that lifecycle and does it for a different actor. Once a project is sold, somebody has to get the logo, the copy, the photos, the hosting login, and a dozen small decisions out of the client. In BriefGate that somebody is your coding agent: it calls define_intake, BriefGate e-mails the client a branded portal link and chases them until everything is in, and the agent calls get_intake_results and gets typed data it can build with. No CRM, no invoicing, no proposals.

When to choose HoneyBook
- You want one product for proposals, contracts, invoicing, payments, and scheduling, and asset collection is a small part of that
- Your clients are in the US, Canada, the UK, or Australia and pay by card or ACH inside the platform
- A person on your team runs onboarding from a dashboard and the automation builder is enough to remind clients
- You want lead capture and a sales pipeline in the same tool as delivery
HoneyBook reviewers on G2 and Capterra consistently praise the templates, the built-in payments, and having everything in one place. If that is what you need, BriefGate is not a replacement for it.
When to choose BriefGate
- You already have a CRM, invoicing, or contracts elsewhere and only the "get the assets from the client" step is broken
- Your coding agent builds the deliverable and needs the assets as typed data, not as attachments inside a project record
- You collect credentials (hosting, DNS, ad accounts) and want them encrypted and revealed once, not typed into a questionnaire
- Reminders have to run on their own schedule per client, over e-mail and, on Agency, SMS, without a person watching
- You are outside HoneyBook's four countries, or your clients are, or you need EU data residency
- You want to integrate through an API or an MCP server rather than through Zapier
Using both
HoneyBook and BriefGate do not compete for the same step, so combining them is straightforward:
- Sell and contract the project in HoneyBook as you do today.
- When the project starts, have your agent, or a Zapier zap on HoneyBook's "project moved to stage" trigger, call
POST /v1/intakeswith the items that project needs. - BriefGate chases the client and fires
intake.completedwhen everything is in. Your agent picks up the results withget_intake_resultsand continues building.
The client sees one branded portal for the assets and never has to learn a second dashboard.
